Every business or program must address well-defined objectives which will add value, either directly to the bottom line or toward the achievement of the organization's goals and objectives. Records management (RM) objectives usually fall into one of three categories:
- Service (effective and efficient),
- Profit (or cost-avoidance), and
- Social (moral, ethical and legal) responsibility
Records management programs must manage organizational information so that it is timely, accurate, complete, cost-effective, accessible and useable. Better information, at the right time, makes better business.
Records management programs are not generally an organization's primary business, and even though RM programs don't usually generate income, the following are the most important reasons to set up a good records management program.
Using our state of the art information tracking system with key indexing and barcode scanning, your records tracking will be improved so that documents can be located and delivered in a timely manner.
Recover your storage space by moving semi-active and inactive files offsite. This will provide you with more usable room for active records without using more floor space.
Our information tracking system includes retention scheduling and monitoring. Timely disposal review reports are automatically generated for your management review and approval.
Our offsite facilities provide secure, fire and intrusion protected locations for your vital and valuable information. Your records are randomly assigned throughout our facility for additional protection from unauthorized access or accidental damage. Access to your records is limited to a pre-authorized security list assigned and approved by your management and staff.
Using our authorized access procedures and tracking systems, you control access to your documents. We track who requested the information, where it was delivered, who signed for it and when it is returned to the record center.
Sending semi-active and inactive records offsite will free up space in existing paid-for filling equipment without the need for purchasing new systems.
By using our information systems, key information is indexed into a database allowing for the searching and purging of duplicate information and records.
When your records are stored offsite, our information systems track the location, retrieval and refile activity, contents of your cartons and retention and disposal data of your information.
Records management costs will be reduced by elimination of space and equipment needs for storing semi-active and inactive records. Staff costs will be reduced by improving the response time to finding critical information and reducing the searching time spent going through unorganized or duplicated records.
Our records center staff provides several delivery options for accessing your records at the offsite facility. Scheduled and on-call desk top delivery of files or cartons. Fax and mail options as well as digital scanning of file documents with electronic delivery via the internet. These options all offer the capability to eliminate or substantially reduce your wasted staff time, use of employee personal vehicles for company business and reduced exposure to staff workplace injuries from lifting and stacking heavy file boxes.
Our information tracking systems provides for a computerized listing of your records including title descriptions, filing spans, date spans, disposal dates and even file by description. Once created, this data-base is available to you in hard copy report form as well as online through our web access information management system.
